Post-Show

When will my post show labour arrive?


Check in at the Robinson Exhibitor Services Hub in order to pick up your labourers. You may contact the Exhibitor Service Hub or Robinson Show Services (905-417-7789), to make sure your labour order has been placed.




How do I get my empty containers back? When will they arrive?


After the aisle carpet has been picked up and rolled, the empty crates can be returned to your booth. Depending on the size of the show, it can take several hours to return all empty containers. Please make sure to arrange your labour, return shipping and travel, accordingly.




When do I need to vacate/clear items out of my booth space?


Please refer to Quick Facts in your Exhibitor Kit, for the date and time the show needs to be cleared. Also refer to Quick Facts, for the time your shipments are required to be cleared by your outbound carrier, and for Carrier Check-In Time.




How do I arrange outbound shipping?


Robinson Show Services can handle all of your transportation needs, including outbound shipping. Simply call 905-417-7789, to arrange outbound shipping or check in at the Exhibitor Services Hub, while at show-site.

If you have a preferred carrier that is different from Robinson Show Services, you may arrange in advance for them to pick up your shipment. Please refer to Quick Facts, in your Exhibitor Kit, for the time your shipment will are required to be cleared from your space, by the outbound carrier. In the event your selected carrier fails to arrive on final move-out day, your shipment will either be rerouted to the carrier of choice or delivered back to the Robinson Show Warehouse, at the exhibitor's expense. For your convenience, show-recommended carriers will be on site to handle outbound transportation, should show size warrant this.

To save time, complete and submit the Outbound Shipping Form, from your Exhibitor Service Manual, in advance. You can also contact the Robinson Exhibitor Services Hub at show site, for your shipping documents.

Each shipment must have a completed Material Handling Agreement, (MHA), in order to ship materials from the show. All pieces must be labeled individually.

After materials are packed, labeled and ready to be shipped, the completed Material Handling Agreement, (MHA), must be turned in at the Robinson Exhibitor Services Hub.

Exhibitors should remain in the contracted space, until the Exhibitors display materials are secured and accepted by the freight carrier or otherwise removed by the Exhibitor. Show Management and Robinson Show Services assumes no responsibility for Exhibit Material left unattended, in the Exhibit Hall. Submission of an MHA to Robinson Show Services, does not transfer responsibility to Robinson Show Services.




Do I need to check in with the Exhibitor Service Hub again?


You will need to stop by the Exhibitor Services Hub to complete your outbound shipment paperwork. Once your shipment is packed up and ready to go, you will fill in the piece count and return the form to the Exhibitor Services Hub. At this time, you will also make sure all your labels are placed on the shipment. This paperwork allows Robinson to release your shipment to your outbound carrier.




Will there be security to watch my booth during move out?


No. If you have something valuable in your shipment, it is advised that you wait for your carrier to arrive. Also, do not label boxes with the contents (i.e., plasma screen, computer equipment, etc).If your shipment contains high valued materials or goods, it is recommended wrapping with black shrink wrap.




Do I need to stay to supervise the movement of my items out of my booth space?


It is important to make sure your outbound paperwork is completed and turned into the Exhibitor Services Hub, before you leave. If you have something valuable in your shipment, it is advised that you wait for your carrier to load out, before leaving or hire a security guard. Also, do not label boxes with the contents if they contain valuable materials. Submission of an MHA to Robinson Show Services does not transfer responsibility or liability to Robinson Show Services.




What is the move out procedure?


Exhibitors may begin dismantling of exhibits once show has closed. Empties will be returned in an orderly fashion, based on booth designation (i.e. booths in front of hall first and then back), once aisle carpet has been picked up. Exhibitors requiring use of docks, should pack all materials up and consolidated all freight towards the back of the hall. Once completed, Exhibitors should proceed to the Robinson Exhibitor Hub, near back of the hall. Exhibitors will be put into queue for dock usage. Vehicles that arrive at the docks without prior arrangements from Robinson Show Services, will be turned back and placed into queue, following those with prior Robinson Show Services arranged pickups.




How can I assist with a smooth move out?


At the end of an event, everyone is anxious to leave as fast as possible, however, move out can be very efficient when a Live Move Out process is followed.

Exhibitors requiring use of docks, are requested to pack all materials up and consolidated all freight towards the back of the hall. Once completed exhibitors should proceed to the Robinson Exhibitor Hub, near back of the hall. Exhibitors will be put into queue for dock usage, based upon the order their booth is completely packed up and ready for transport.
