Exhibitors may begin dismantling of exhibits once show has closed. Empties will be returned in an orderly fashion, based on booth designation (i.e. booths in front of hall first and then back), once aisle carpet has been picked up. Exhibitors requiring use of docks, should pack all materials up and consolidated all freight towards the back of the hall. Once completed, Exhibitors should proceed to the Robinson Exhibitor Hub, near back of the hall. Exhibitors will be put into queue for dock usage. Vehicles that arrive at the docks without prior arrangements from Robinson Show Services, will be turned back and placed into queue, following those with prior Robinson Show Services arranged pickups.

At the end of an event, everyone is anxious to leave as fast as possible, however, move out can be very efficient when a Live Move Out process is followed. Exhibitors requiring use of docks, are requested to pack all materials up and consolidated all freight towards the back of the hall. Once completed exhibitors should proceed to the Robinson Exhibitor Hub, near back of the hall. Exhibitors will be put into queue for dock usage, based upon the order their booth is completely packed up and ready for transport.

Normal delivery hours are 7am to 5pm daily. Deliveries can be made 24 hours a day with additional fee for deliveries outside normal hours. Delivery times are based on a 4 hour window of delivery. Should you have a time sensitive delivery please let your co-ordinator know. Additional fees may be applicable for time sensitive deliveries, difficult move ins such as stairs, grass, hills, lack of docks or road access, hand carry or forklift required. Additional fees will be determined based on scope of order and time window available.

EXHIBIT DISPLAY REGULATIONS

Display rules are in accordance with the International Association of Exhibitions and Events (IAEE) Rules and Regulations with exceptions noted as part of the text below. Please ensure that you understand the type of booth space you are purchasing/have purchased and its restrictions.

LINE-OF-SIGHT RULE

In the best interest of all exhibitors, ETC Show Management has implemented the line-of-sight rule. Under this rule the ability to have products easily seen by attendees is accomplished. Specific rules for each configuration are detailed below. If you are unsure of your configuration, please email at ops@electricitytransformation.ca for clarification.

BOOTH END CAPPING

All booth spaces will be treated as equal, consequently there will be no booth end capping.

LINEAR / IN-LINE BOOTH

Linear booths are defined as booths with a depth less than 20 feet (6.10 m), generally arranged in a straight line with neighbouring exhibitors on their immediate right and left, leaving one side open to the aisle and are subject to the below guidelines:

• Exposed back and side walls must be finished and neutral (standard back drape is 8’ high)

• Company graphics are not allowed on the backwall facing neighbouring exhibitors

• The maximum height of 8 feet (2.44 m) is allowed only in the rear half of the booth space

• The maximum height of 4 feet (1.22 m) restriction is imposed on all materials in the remaining space forward to the aisle

• When three or more Linear Booths are used in combination as a single exhibit space, the 4 feet (1.22 m) height limitation is applied only to that portion of the exhibit space which is within 10 fee (3.05 m) of an adjoining booth

• Hanging signs are NOT permitted

CORNER BOOTH

A corner booth is a linear booth at the end of a series of in-line booths with exposure to intersecting aisles on two sides and are subject to the below guidelines:

• Exposed back and side walls must be finished and neutral (standard back drape is 8’ high)

• Company graphics are not allowed on the backwall facing neighbouring exhibitors

• The maximum height of 8 feet (2.44 m) is allowed only in the rear half of the booth space

• The maximum height of 4 feet (1.22 m) restriction is imposed on all materials in the remaining space forward to the aisle

• When three or more Linear Booths are used in combination as a single exhibit space, the 4 feet (1.22 m) height limitation is applied only to that portion of the exhibit space which is within 10 fee (3.05 m) of an adjoining booth

• Hanging signs are NOT permitted

PERIMETER BOOTH

Perimeter booths are defined as linear exhibits that back on to a wall of the exhibit facility rather than another booth and are subject to the guidelines below:

• Exposed back and side walls must be finished and neutral (maximum back wall height is 12 feet)

• The maximum height of 8 feet (2.44 m) for display materials is allowed only in the rear half of the booth space

• The maximum height of 4 feet (1.22 m) for all materials is imposed in the remaining space forward to the aisle

• When three or more Linear Booths are used in combination as a single exhibit space, the 4 feet (1.22 m) height limitation is applied only to that portion of the exhibit space which is within 10 feet (3.05 m) of an adjoining booth

• Hanging signs are NOT permitted

PENINSULA BOOTH

Peninsula booths are defined as booths with a depth of 20 feet (6.10 m) or more, totaling 400 square feet (37.16 m2) or more, open on three sides to the aisles and share a back wall with another exhibitor(s) (usually Linear booths). They are subject to the following guidelines:

• The maximum height for any sign, display, product, fixture, or banded decoration within the exhibit is 16 feet (4.88 m)

• The maximum allowable height for lighting or unbranded structure for the use of lighting the booth space only is 20 feet (6.10 m)

• Any back walls may run the full length of the booth width, except when adjoining to linear booths. In that case, the back wall must be limited to 4 feet (1.22 m) in height within 5 feet (1.52 m) of each aisle

• Double-sided signs, logos and graphics shall be set back 10 feet (3.05 m) from adjacent booths

• Any portion of the exhibit bordering another exhibit space must have the back side of that portion finished and neutral

Hanging Sign Guidelines

• Maximum height for all hanging signs is 20 feet (6.10 m), distance measured from the top of the sign to the floor

• Bottom of all hanging signs must be at 16 feet high (4.88 m), distance measured from the floor to the bottom of the sign

• Signs must be finished on all sides

• Signs, lettering or graphics facing a neighbouring booth must be located at least 10 feet (3.05 m) from that exhibit

• Maximum height for rigged lighting or unbranded structural elements is 20 feet (6.10 m)

• All hanging signs require written approval from Show Management and must be submitted with your booth design through the MYS Exhibitor Dashboard no later than October 1, 2021

ISLAND BOOTH

Island booths are defined as booths with a depth of 20 feet (6.10 m) or more, totaling 400 square feet (37.16 m2) or more and open on all sides to the aisle. They are subject to the following guidelines:

• The maximum height for any sign, display, product, fixture or branded decoration within the exhibit is 16 feet (4.88 m)

• The maximum allowable height for lighting or unbranded structure for the use of lighting your booth space only is 20 feet (6.10 m)

• Since there are no adjacent exhibitors, signs and displays up to 16 feet (4.88 m) in height may be located anywhere within the exhibit

Hanging Sign Guidelines

• Maximum height for all hanging signs is 20 feet (6.10 m), distance measured from the top of the sign to the floor

• Bottom of all hanging signs must be at 16 feet high (4.88 m), distance measured from the floor to the bottom of the sign

• Signs must be finished on all sides

• Signs, lettering or graphics facing a neighbouring booth must be located at least 10 feet (3.05 m) from that exhibit

• Maximum height for rigged lighting or unbranded structural elements is 20 feet (6.10 m)

• All hanging signs require written approval from Show Management and must be submitted with your booth design through the MYS Exhibitor Dashboard no later than October 1, 2021

SPLIT ISLAND BOOTH

A Split Island booth is a Peninsula booth which shares a common back wall with another Peninsula booth. Each booth is a minimum of 20 ft x 20 ft (6.10 m x 6.10 m) and are subject to the following guidelines:

• The entire cubic content of this booth may be used, up to the maximum allowable height, without any back wall line-of-sight restrictions

• The maximum height is 16 feet (4.88 m) including signage. A typical maximum height range allowance is 16ft to 20ft (4.88m to 6.10m), including signage

• Double-sided signs, logos and graphics shall be set back 10 feet (3.05 m) from adjacent booths

• All hanging signs require written approval from Show Management and must be submitted with your booth design through the MYS Exhibitor Dashboard no later than October 1, 2021

APPROVAL OF BOOTH DESIGN

All booths 400 sq ft and over must submit display designs for approval by October 1, 2021 using the Map Your Show Exhibitor Dashboard. The booth design should include dimensions, elevations of all display materials and structures including signs, walls, draped and products to be displayed. Exhibitors will receive written approval from Show Management of their booth but reserve the right to require changes before or after the exhibit is installed.

Important: When installing a display with a ceiling, or second level, Exhibitors are cautioned to review the Metro Toronto Convention Centre’s (MTCC) Fire Regulations. This information can be found in the Exhibitor Services Forms in your Map Your Show Exhibitor Dashboard.

Rental Items: All order changes/cancellations must be submitted via e-mail a minimum of 5 business days prior to your scheduled date of delivery. A 25% restocking fee will be applied to any rental reductions/cancellations occurring less than 5 business days of your delivery date.

Note: Orders involving custom builds and graphics, are subject to full payment upon time of order. Cancellation of confirmed orders will be charged the full order amount. Custom build changes will be billed accordingly.

Move-in Information Move-in deliveries limited to move-in time(s) and date(s) as per Exhibitor Schedule above. Venue does not accept advanced shipments. Dock times must be pre-booked by Exhibitor or Third Party. All dock deliveries are subject to Material Handling by the Exclusive Show Provider Robinson Show Services.

South Docks will be used for both move-in & move-out of non-hand carried items. Availability of dock times will be based on a first signed up basis, scope of build and size of booth upon completion of submitted Material Handling & Move-In order forms- see Mandatory Forms Section on this page. Hand-carry items limited to one trip through venue on Wednesday November 17, 2021 from 8: 30 am-9: 30 am. Pump trucks and dollies will not be available during this time.

Move-out Information Aisle carpet must be removed prior to the return of empty crates. Robinson will begin returning empty crates immediately after show closing at 3:30 pm Friday November 19, 2021.

Exhibitor materials must be cleared from the show floor by: Saturday November 21, 2021 at 11:00 pm

Robinson Show Services can handle all of your transportation needs, including outbound shipping. Simply call 905-417-7789, to arrange outbound shipping or check in at the Exhibitor Services Hub, while at show-site. If you have a preferred carrier that is different from Robinson Show Services, you may arrange in advance for them to pick up your shipment. Please refer to Quick Facts, in your Exhibitor Kit, for the time your shipment will are required to be cleared from your space, by the outbound carrier. In the event your selected carrier fails to arrive on final move-out day, your shipment will either be rerouted to the carrier of choice or delivered back to the Robinson Show Warehouse, at the exhibitor's expense. For your convenience, show-recommended carriers will be on site to handle outbound transportation, should show size warrant this. To save time, complete and submit the Outbound Shipping Form, from your Exhibitor Service Manual, in advance. You can also contact the Robinson Exhibitor Services Hub at show site, for your shipping documents. Each shipment must have a completed Material Handling Agreement, (MHA), in order to ship materials from the show. All pieces must be labeled individually. After materials are packed, labeled and ready to be shipped, the completed Material Handling Agreement, (MHA), must be turned in at the Robinson Exhibitor Services Hub. Exhibitors should remain in the contracted space, until the Exhibitors display materials are secured and accepted by the freight carrier or otherwise removed by the Exhibitor. Show Management and Robinson Show Services assumes no responsibility for Exhibit Material left unattended, in the Exhibit Hall. Submission of an MHA to Robinson Show Services, does not transfer responsibility to Robinson Show Services.

Orders are reserved for rental on a first-come, first-serve basis so we recommend booking as soon as possible. For large-scale events such as weddings and corporate events, we suggest booking your order at least 3-6 months in advance. For smaller events, it is recommended that you book 2-4 weeks before the date of your event. In order to help make your event as easy as possible to host, booking your rentals as soon as possible will ensure that you get your first choice rentals for your special day. An estimate of services will be emailed to you by our coordinator. To secure booking, this must be signed with a 50% non-refundable deposit to reserve rentals. The remaining balance of your order is due the day before your event.
